Position: Administrative Assistant
Overview:
SeaChange Capital Partners is an entrepreneurial nonprofit finance firm established by former leaders of Goldman Sachs. Our mission is to enhance the flow of growth capital from wealthy donors to select high-performing nonprofits, to contribute to the vital long-term effort of creating more efficient financial capital markets for the social sector. We will identify nonprofits with records of measurable success and present opportunities for supporting them to a network of potential donors, including wealthy individuals, foundations, and other funders.
Position:
The Administrative Assistant will play an important role in assuring smooth operations within a fast-paced, entrepreneurial environment, working closely with SeaChange's internal staff and generally with a broad range of donors and grantees in the nonprofit and private sectors. Providing critical administrative support to the staff of SeaChange, the Administrative Assistant will coordinate a range of details related to internal and external events and meetings and will often serve as the first point of contact for the organization's incoming calls and visitors.
Responsibilities:
* Manage schedules and logistics for members of the staff, including travel arrangements
* Provide support and follow-up for internal and external meetings, including coordinating meeting space and equipment, ensuring adequate preparation of meeting participants, preparing agendas and materials, and coordinating all follow-up
* Assist with the creation of presentations (often using PowerPoint) and other communications (including emails and letters) for various audiences, including the Board of Directors, staff, donors, and others
* Coordinate events hosted by SeaChange (i.e. board meetings, fundraising events, speaking engagements) including coordinating logistics, handling correspondence, and assisting with the production of materials
* Maintain databases through accurate and timely data entry
* Answer the main telephone line for SeaChange, greet visitors, and handle day-to-day office details like ordering office supplies, submitting reimbursement vouchers, and processing purchase orders
* Participate in special projects as appropriate, which may include basic research, evaluation of operating systems, or outreach campaigns
Qualifications:
* One to four years of experience providing administrative support, reception and/or customer service in a nonprofit, philanthropic or business organization, with an interest in and commitment to the work of SeaChange
* Excellent written and oral communication combined with organizational skills and meticulous attention to detail
* Demonstrated ability to work independently in a fast-paced environment, lead projects, meet deadlines, organize time and priorities, and work well as a member of a team
* Friendly, flexible, confident, and energetic personality with a professional demeanor and an ability to interact with a wide range of individuals, combined with a ready sense of humor
* Familiarity with databases and proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint
* Some familiarity with nonprofit accounting basics and an ability to perform simple calculations in Excel preferred
* Bachelor's degree or equivalent experience required
